When is a minibus better than several taxis?
A standard Berlin taxi takes four passengers; larger taxis exist but are rare at the rank, and you cannot reserve one there. As soon as your group outgrows a minivan, the alternative is a convoy: several cars, several meters, several receipts, and someone who arrives at the hotel first and waits. With a private minibus booked in advance, the whole group travels together and the total price applies to the vehicle, not per person. The seat count and luggage space for each vehicle class are shown in the booking form; for smaller groups, compare the 8-seater and 12-passenger options.
Private minibus: one meeting point, one driver
Your driver waits in the arrivals hall with the group name and follows the flight, so a delayed landing does not break the plan. If your group arrives on different flights, book separate rides or choose a pickup time after the last landing; the driver cannot split the minibus between terminals. A short headcount before leaving the hall saves a second trip back for the person still at the duty-free shop.
Extra and bulky luggage: what fits?
Minibuses have a large luggage area, but bulky items still need planning. Declare them in the booking notes so the right vehicle is sent:
- Bicycles in boxes or bags – usually fine when stated in advance; loose bikes with pedals and handlebars attached take far more space.
- Skis, snowboards and golf bags – long items go in lengthwise; mention the number.
- Musical instruments – cellos, double basses and drum cases are bulky but light; band equipment in flight cases often needs the full luggage area.
- Folding wheelchairs, prams and car seats – fold them before loading; child seats can also be booked.
- Pet carriers – see travelling with a pet.
At BER, oversized items often come out at a separate counter in the baggage reclaim hall, which takes extra time. More on this in our heavy luggage guide.
Where a minibus can stop, and where it cannot
A minibus is longer than a car. Hotel driveways and main streets are no problem; narrow lanes in old towns, pedestrian zones and some courtyards are. If your hotel lies on a small side street, ask it where coaches or vans usually unload and add that to the notes. At trade fairs, the drop-off zones for vans are often separate from the taxi ranks; our trade fair page explains the entrances.
Who typically books a minibus at BER?
Sports teams with kit bags, choirs and orchestras with instruments, wedding parties, school classes and company teams heading to a trade fair or an offsite in Brandenburg. For trips beyond the city, such as a team weekend at a lake hotel, the minibus saves organising cars at the destination too. Payment runs through the booking, so the organiser receives one confirmation for the whole group instead of collecting receipts from several taxis.
Checklist for the group organiser
- Exact number of passengers, including children and infants.
- A list of bulky items with approximate sizes.
- Flight number and the name the driver should display.
- One mobile number for the group, switched on after landing.
- For the return to BER: the pickup time agreed with everyone, and the terminal.
Larger events with several vehicles are covered under group transfer.
