Travelling to Berlin as a group changes airport transport completely. Five friends, a family of seven or a team of twelve can use public transport, but keeping everyone together with luggage requires more coordination.
The right vehicle is not simply the one with the correct number of seats. It also needs enough space for every suitcase, stroller or equipment case.
Five passengers
At five passengers, a standard sedan is usually no longer the practical choice.
A minivan offers better seating and luggage flexibility.
If the group is five adults with one checked suitcase each, luggage volume should be checked carefully. A vehicle that seats seven may not necessarily hold seven large cases at the same time.
For five travellers with only cabin bags, the same minivan may have plenty of room.
Six or seven passengers
Six and seven travellers are the typical minivan group.

At maximum passenger capacity, luggage room becomes more limited. If every traveller has a large suitcase, a minibus may be the more comfortable choice.

Why one vehicle can be easier than several taxis

One vehicle means one meeting point and one group arrival.
This is particularly useful for international visitors who all need to reach the same hotel, event or apartment.
If the group is on one flight, wait until everyone has collected baggage before going to the driver.
When public transport still makes sense
Berlin’s airport rail connection is strong.
A group with light luggage can take the FEX or S-Bahn into the city at a much lower cost than private vehicles.
Public transport can also be better when group members are staying in different neighbourhoods.
The main difficulty is moving a large group with luggage through station changes without losing anyone.
If the hotel is beside a major station, this may not be a problem.
Group taxi surcharge
Berlin’s official taxi tariff includes a surcharge for large-capacity taxis carrying groups of five or more passengers.
Travellers comparing a large taxi with a pre-booked minivan should include this in the price comparison.

Multi-generational families often need more space than a group of adults.
A stroller, wheelchair or several child seats changes the configuration.
Add every child as a passenger and request any required child restraint during booking where available.

Business and event groups
Berlin receives large numbers of international conference and trade-fair visitors.
A minibus can take a team from BER directly to the hotel, Messe Berlin or a meeting address.
If the group carries exhibition material, tell the provider. Sample cases and display equipment can be much larger than ordinary suitcases.
Groups arriving on different flights
This requires careful planning.
A single pickup cannot be automatically tied to several uncertain arrival times.
Choose which flight the transfer is based on and decide how long the group is willing to wait for others.
If the arrivals are far apart, separate transfers may be more practical.
One contact person
Choose one organiser.
That person should keep the booking number, driver contact and full hotel address.
The driver should not receive different instructions from five passengers.
Before leaving baggage reclaim, the organiser can count passengers and major bags.
Departure from Berlin
For the return journey, set a group meeting time earlier than the vehicle pickup.
If the minibus arrives at 07:00, ask everyone to be in the hotel lobby at 06:45.
That gives time to find the one person who forgot a charger without immediately risking the flight.
Choose comfort, not only maximum capacity
A minivan at full capacity can work. A slightly larger vehicle can be more comfortable when the trip is long or luggage is heavy.
For groups, the right question is: “Will everyone and everything fit safely?” rather than “How many seats does the vehicle technically have?”
